Example: Create custom holidays

The following section provides an example of how an administrator could use the custom holidays feature to add new holidays to a company and assign them to sites.

Define the holiday requirements

Assume that you need to create a new holiday to meet the following requirements:

  • A Company with two Sites (one in New York and one in Los Angeles) wants to have a professional development day added each year for all of their employees to take advantage of an out-of-office seminar with the CEO.
  • Because the CEO needs to attend both seminars, each Site must observe the holiday on a different day. The New York Site will have their professional development day on the first Thursday in April, while the Los Angeles Site will have theirs one week later.

Adding these holidays to a Company requires the following steps:

  1. Create two new custom holidays.
  2. Assign the appropriate holiday to its respective Site.

The steps in this example assume that you have created two new Sites, New York and Los Angeles, and that all of the available Company holidays are already assigned to both Sites.

Create the custom holidays

The first step to using custom holidays is to create the holidays so they appear in the list of available holidays for a Company.

To create the holidays:
  1. Log in to the web user interface as a Company Administrator.
  2. In the Admin menu, under Calendars, click Custom Holidays.
  3. On the Custom Holidays page, click the Add New link.
  4. On the Custom Holiday Details page, enter the following information into the form:
    1. Holiday Name: Pro Dev Day - NY
    2. Description: Professional Development for New York Site
    3. Country: United States
  5. In the Frequency section, select Define by day of week, and then use the drop-down lists to specify the first Thursday of April.
  1. Click Save.
  2. On the Custom Holidays page, click the Add New link.
  3. On the Custom Holiday Details page, enter the following information into the form:
    1. Holiday Name: Pro Dev Day - LA
    2. Description: Professional Development for Los Angeles Site
    3. Country: United States
  4. In the Frequency section, select Define by day of week, and then use the drop-down lists to specify the second Thursday of April.
  5. Click Save.

Both of the professional development days should now be listed on the Custom Holidays page.

The new holidays are also automatically added to the list of holidays for the Company.

Add custom holidays to a site

Once you have created the custom holidays, the next step is to add them to the Sites.

To assign holidays to a site:
  1. On the Custom Holidays or Company Holidays page, in the Common Tasks menu, click Set Holidays for a Site.
  2. On the Select Site Holiday page, in the Select the Site drop-down list, select New York.
  3. On the Site Holidays page, select New York, and click the Modify link.
  4. On the Active Holidays page, in the Available Holidays list, select Pro Dev Day - NY, and then click Add.
    1. The Pro Dev Day - NY custom holidays is added to the Selected Holidays list.
  5. Click Save.
  6. On the Custom Holidays or Company Holidays page, in the Common Tasks menu, click Set Holidays for a Site.
  7. On the Select Site Holiday page, in the Select the Site drop-down list, select Los Angeles.
  8. On the Site Holidays page, select a site, and click the Modify link.
  9. On the Site Holidays page, select Los Angeles, and click the Modify link.
  10. On the Active Holidays page, in the Available Holidays list, select Pro Dev Day - LA, and then click Add.
    1. The Pro Dev Day - LA custom holidays is added to the Selected Holidays list.
  11. Click Save.
